Who we are

Five Square Design is a software studio based in Montreal, Quebec, Canada. For the purposes of Quebec’s Act respecting the protection of personal information in the private sector (Law 25) and Canada’s Personal Information Protection and Electronic Documents Act, we are the party responsible for the personal information described here. What we collect

We collect personal information in one place only: the contact form on this site. When you submit it, we receive the name, email address, and message you typed. Nothing else on the site asks you for personal information.

Our hosting provider records standard server logs, including IP address and timestamp, as part of delivering the site. We use the IP address for one purpose: limiting how many messages a single connection can send in an hour, so the form cannot be used to send bulk mail.

What we do not collect

• No analytics or visitor-tracking scripts run on this site.
• No advertising cookies, pixels, or third-party trackers are loaded.
• No account is created and no password is stored, because there is no login.
• We never sell, rent, or trade personal information to anyone.

How we use it

Contact form submissions are used to answer you and, if we go on to work together, to run the project. That is the whole purpose. We do not add you to a mailing list and we do not send marketing you did not ask for.

Who else sees it

Contact form messages are delivered to our inbox through Resend, an email delivery provider, which processes the message in order to send it. Beyond that, personal information is not shared with third parties except where the law requires it.

Some of these providers operate servers outside Quebec, including in the United States, so information you send through the form may be processed outside the province.

How long we keep it

Contact messages stay in our email for as long as the enquiry or the project relationship is active, and are deleted when they are no longer needed. Rate-limit records are held in memory only and disappear within the hour.

Your rights

You can ask us what personal information we hold about you, ask for it to be corrected, or ask for it to be deleted. Write to contact@fivesquaredesign.com and we will respond within thirty days, which is the timeframe Law 25 requires. If you are not satisfied with our answer, you can complain to the Commission d’accès à l’information du Québec.

Security

The site is served over HTTPS, form submissions travel encrypted, and the form runs through a server action rather than a public endpoint. No method of transmission is perfectly secure, but we do not store personal information in any database of our own, which keeps the amount of it at risk small.

Changes to this policy

If we change how the site handles personal information, we will update this page and change the date at the top. Material changes will be described rather than made quietly.
